Updating Jointly-Offered Course Groupings for an Existing Course

Jointly-offered courses are offered under the sponsorship of two or more University units. One of the units is considered to be the primary unit (responsible for the administration of the course) and the other course is considered the secondary unit. For more information on jointly-offered courses, please refer to the UW Curriculum Office website.

In UW CM, units only need to submit one course proposal per jointly-offered grouping. Below are three different scenarios of how to submit a course change proposal when there are changes to the jointly-offered grouping.

Add a Jointly-Offered Course

Step 1: Log into UW CM

Log into UW CM using your UW NetID and password. If you experience issues, please refer to our troubleshooting guide.

Step 2: Find Your Course

Select ‘Courses’ on the left navigation pane. Under ‘Filters’, make sure the ‘Active’ checkbox is selected. Type the course prefix and number or the title in the search bar to find your course. You can further narrow the search results with the department or college/school filters. Select your course in the results section.

Step 3: Propose a Course Change

To propose a course change, click the ‘Propose Changes’ button.

Step 4: Make sure the ‘Department’ field includes the responsible unit

The ‘Department’ field must be populated with the responsible unit. The responsible unit will receive the workflow approval requests.

Step 5: Add secondary course(s) and unit(s)

The ‘Offered Jointly With’ and ‘Jointly Offered Course Departments’ fields in the ‘Curricular Relationship’ section must be completed. The secondary unit(s) will receive workflow acknowledgement requests.

Note: The course number proposed should not be an active course number. If you propose an active course number, you will receive a warning.

Step 6: Review proposed changes and then select ‘Submit for Approval’

Review your proposed changes before submitting the proposal into the workflow. Your proposed changes will appear in yellow above the existing content (in blue).

Remove a Jointly-Offered Course

Steps 1, 2, 3: Same as Add a Jointly-Offered Course steps 1, 2, 3

Step 4: Remove secondary course(s)

Click the trash can icon to remove the course from the ‘Offered Jointly With’ course field in the ‘Curricular Relationship’ section. The unit associated with the course should remain in the ‘Jointly Offered Course Departments’ field. This unit will receive workflow acknowledgement requests.

Step 5: Review proposed changes and then select ‘Submit for Approval’

Review your proposed changes before submitting the proposal into the workflow. Your proposed changes will appear in yellow above the existing content (in blue).

Change Responsible Unit

Steps 1, 2, 3: Same as Add a Jointly-Offered Course steps 1, 2, 3

Step 4: Update ‘Course Information’ section

Click the trash can icon to remove the existing prefix from the ‘Prefix’ field, and then update this field with the prefix for the responsible unit. Making this update will automatically populate the ‘Department’ field with the responsible unit. The updated responsible unit will now receive the workflow approval requests.

Next, update the ‘Course Number’ and ‘College/School’ fields (if necessary).

Step 5: Update ‘Curricular Relationship’ section

Click the trash can icon to remove the current course from the ‘Offered Jointly With’ field, then add the secondary course.

Next, click the trash can icon to remove the current unit listed in the ‘Jointly Offered Course Departments’ field, then add the secondary unit. The updated secondary unit will receive the workflow acknowledgements.

Step 6: Review proposed changes and then select ‘Submit for Approval’

Review your proposed changes before submitting the proposal into the workflow. Your proposed changes will appear in yellow above the existing content (in blue).
